Applications are ingested from the website: https://www.vcsg8.com/apply and sent to the #application-alerts
channel.
Within the channel we use the following emojis on each application to track application status:
Emoji | Emoji Code | Meaning |
---|---|---|
📬 | :mailbox: |
User is not in server, messaged them either through Discord or email to ask them to join. Or user joined the server, pinged them and asked for their availability |
✅ | :white_check_mark: |
User has been accepted into the group |
❌ | :x: |
User has been rejected / declined to join the group |
Update the application with the correct emoji once applicable.
Applicants can ask questions in #recruit-questions
after joining. When asking to coordinate a time for an interview, attempt to use Zule time when communicating with an applicant.
If you’d like, you can use Discord timestamps when mentioning times, an easy tool for this is HammerTime. This is to be used by you, mentioning these to the applicant will create unnecessary confusion.
Don’t get stuck on trying to get recruits to use proper time, as long as you’re providing an easy way to dereference their local time, things should flow smoothly.
See if they’ve applied or been with the group previously, if so determine if they can rejoin or not. E.g. if they’ve been kicked out for inactivity, make sure they can actually meet the attendance requirements before joining again.
The following information should be gathered from the applicant before admitting them:
If all the above checks out, admit them into the group.
If it doesn’t, or you have concerns, do not hesitate to ping @Recruitment Officer
or @Community Admin
for a second opinion.
Be polite but firm when rejecting someone. If they do not meet our requirements or can not fly with us, they will not be good members to the community.
If the rejection is due to age, let them know they can apply again once they are 18. If they insist they are mature for their age, politely tell them the age limit is 18 due to our need to comply with Discord’s Terms of Service requiring us to not have minors in channels that talk about ‘dangerous goods or weapons’, which could be construed as any conversation of military equipment which is commonplace in our server. We are not flexible on this.
If you reject someone please ensure you mark their application with an ❌, and then write up a 1-2 sentence report of why they were rejected/declined in #recruitment-office
.
With the new applicant still in the channel it is important to get the following information to them:
93rd, VF-11 | J. Doe, John D., John Doe, John Joseph Doe, JD Doe |
VFA-45, VFA-81 | J. Doe |
We do not allow duplicate names.
